Review held mail and block senders

See the emails Prativani held back and why, release the ones you want, and block or allow senders.

Prativani holds back some emails instead of turning them into conversations, such as spam or out-of-office replies. Nothing is deleted without you knowing: every held email is listed with its reason.

Before you start

Every planNeeds: Email: Write
  • Discarding held mail and removing rules also needs permission to delete in the email channel.

Go to SettingsChannelsEmail and open the Held mail tab. The tab shows how many emails are waiting. Each one shows who sent it, to which address, and why it was held:

ReasonWhat it means
Automated replyA bounce or out-of-office reply.
Mail loopThe email kept bouncing between two systems.
Marked as spamThe spam check flagged it.
Virus detectedThe virus check flagged it. Don’t release it.
Too largeIt’s over 25 MB.
Sender rate limitOne sender sent more than 20 emails in an hour.
Address not receivingIt was sent to an address you paused.
Blocked senderThe sender is on your blocked list.

For each email you can:

  • Release it. It goes through the checks again without the one that held it, and becomes a conversation. It can still be held for a different reason.
  • Discard it. It never becomes a conversation.
  • Block sender, so their future mail is held too.

Held emails are kept for 30 days.

  1. Open the Blocked senders tab.

  2. Under Address or domain, type one address, such as [email protected], or a whole domain, such as @example.com. You can add a Note (optional) to remember why.

  3. Click Block or Allow.

Blocked mail isn’t thrown away. It lands in Held mail, so a rule aimed at the wrong sender can always be undone.

Allowed always wins over a block. For example, block @example.com and allow [email protected] to let one person through. Allowing a sender doesn’t skip the spam, virus or size checks.

To remove a rule, click Remove next to it. You can have up to 200 rules.
